MenuBase
BUILT FOR MALAYSIAN CLOUD KITCHENS

One kitchen. Many brands. One menu layer.

Cloud kitchens run on a different operational shape than dine-in. The menu is the marketing. Stockouts kill rankings. Photos drive conversion. Multi-brand juggling eats your week. MenuBase is the single source of truth that propagates to Foodpanda and GrabFood, keeps stock-aware to avoid platform penalties, and gives you brand-level P&L visibility.

Cloud kitchen reality, and where the operational drag lives.

Cloud kitchens have a different P&L than dine-in venues. 100% of revenue is platform-mediated. Discovery is photo-driven. Stock errors damage rankings, not service. The marginal hour of operator time goes into menu maintenance across platforms, not into hospitality on the floor.

REALITY

Multi-brand menu update chaos

You run 4 brands. Each has 3 platforms (Foodpanda, GrabFood, ShopeeFood). Every menu update is 12 dashboard logins. Last week's small price tweak took 90 minutes to propagate.

HOW WE FIT

Single source of truth, propagates out

Update once in MenuBase. Every brand, every platform, every active SKU updated in under 2 minutes. Photos, descriptions, modifiers and prices all sync. No more dashboard rotation.

REALITY

Stockouts kill rankings silently

The fryer runs out of crispy chicken at 7.40pm. Three orders come in over the next 20 minutes. Platform marks each as a rejected order. Your listing drops two spots in the algorithm. Tomorrow's traffic suffers.

HOW WE FIT

Stock-aware menu rules across platforms

The moment a SKU runs out the listing is paused across every active platform. No accepted orders on out-of-stock items. No platform penalty. No customer disappointment that becomes a 1-star review.

REALITY

Photo quality is invisible to you

The platform algorithms reward photo quality. You shot the dishes a year ago on a mobile camera. New listings with proper shoots are out-converting you 2 to 3x. You cannot see the gap because you cannot see other operators' analytics.

HOW WE FIT

One photo set, every platform

When you do the photoshoot (and you should, every 6 months), upload once. The new shots propagate to every brand and platform automatically. No copy-paste across 12 dashboards.

REALITY

Brand-level P&L is invisible

Foodpanda dashboard tells you brand-level revenue. It does not tell you brand-level contribution after commission, packaging and effective labour. The brand losing you money is hiding inside the blended P&L.

HOW WE FIT

Per-brand, per-platform contribution

Each item rolls up to its brand. Each brand rolls up to its platform mix. The net-negative brand or platform combination becomes explicit. You prune what is dragging the kitchen down.

One dinner service, with MenuBase running.

Same kitchen, same brands, same platforms. The maintenance load and the platform penalty risk are where things shift.

5:30 PM
Dinner service opens Dinner menu live across all 4 brands and 3 platforms. The lunch-only items hidden 30 minutes ago. The dinner-only items live on the listings 5 minutes before the customer base starts ordering.
6:55 PM
Peak hit, stock drift starts The first stock alert fires (signature laksa, 8 portions left). The system stays live on the listing but flags downstream rules. At 4 portions the system pauses the item across all platforms automatically.
7:40 PM
Brand B viral spike A TikTok video on brand B's signature dish triggers a 4x order spike. Platform takes the heat, the kitchen sees the wave on the KDS. The viral SKU sells out at 8.15pm and is auto-paused. Substitute suggestion goes live on platform listings within 90 seconds.
9:30 PM
Late-window switch The late-night menu activates across brands A and C (the two that target the late window). Brand B (lunch-leaning) goes dark. Brand D stays neutral. Customers searching after 9.30pm see the right brands.
11:00 PM
Service closes, brand P&L visible End-of-day report shows per-brand revenue, commission, packaging, contribution. Brand C was net-negative this week. The decision to keep or kill it is now a data decision, not a vibes one.

What changes after setup.

Same-day setup. We build your master menu across brands, generate the platform feeds and walk the team through stock-rule configuration in one shift.

WEEK 1

Menu maintenance load drops

From 90 minutes per update across all brands and platforms to under 5. The team gets that hour back for shoots, brand work or just sleep.

WEEK 2

Stockout penalties stop

Out-of-stock orders go to zero. Platform algorithm pressure on your rankings eases. Listings stabilise and start recovering.

WEEK 4

Photo set syncs cleanly

The next photoshoot propagates to every brand and platform in minutes, not days. The conversion lift from fresh photos arrives same-week.

MONTH 2

Brand-level P&L visible

The net-negative brand or item gets pruned. The net-positive brand gets attention. The blended P&L stops hiding the math.

Cloud kitchen questions, answered.

Can MenuBase run multiple virtual brands out of one kitchen?
Yes. Each brand has its own menu, its own pricing, its own modifier rules, all from one kitchen. The KDS aggregates incoming orders across brands so the kitchen runs from one queue. Photos, descriptions and stock are managed per brand.
How does stock-out propagation work across Foodpanda and GrabFood?
When an item runs out, the system flags it across every active platform listing instantly. No customer order gets accepted on an out-of-stock SKU. No platform penalty for cancellation, no negative review for a no-show item.
We do photoshoots once a quarter. Does the menu need to live on the platform too?
Your master menu lives in MenuBase. Photos are uploaded once and propagate to each platform automatically. When you redesign a dish or relaunch a brand, the new photo set syncs out without a sales-rep call.
Do we still need to handle Foodpanda and GrabFood dashboards directly?
Less of them. MenuBase becomes the source of truth for menu, photos, descriptions and stock. The platform dashboards remain for promo management, sponsored placement and rider settings. The menu maintenance load drops by 60 to 80%.
Can we model the aggregator P&L per brand and per item?
Yes. Item-level commission, packaging and net contribution are visible per platform per brand. The hidden cross-subsidies between brands and platforms become explicit, so you can prune the items and brands that are net-negative. See the operator-side comparison here.
Do we need to replace our POS?
No. MenuBase sits on top of any POS. The KDS and the platform pull stay where they are. Billing and accounting remain in the existing system.
What does it cost for a 3-brand cloud kitchen?
Free until we prove the operational lift on your menu. After that, the cloud-kitchen tier is priced per active brand rather than per outlet, since multi-brand operations are the normal pattern.
How do we get started?
WhatsApp the team a list of your brands and your typical weekly volume per platform. We will map the menu-maintenance workload you can save and model the stock-leakage you can avoid. 15 minutes. If MenuBase is not the right fit, we will say so.
